ROOM BOOKING CANCELLATION

• Cancellation before 7 days of Check-in: 100% Refund
• Cancellation before 48 hours of Check-in: 50% Refund
• Cancellation within 0–48 hours of Check-in: No Refund

PARTY BOOKING RULES

• 50% of booking value must be paid within 1 day to confirm the venue
• 10% of minimum guarantee required as confirmation advance
• No tentative booking held beyond 24 hours
• Booking for immediate family only. Violation may attract penalty
• Balance payment and extras to be settled before or immediately after event
• Food & beverage service until 11:45 PM, vacate by 12:30 AM
• Extension: ₹5000/hour + GST (max 2 hours)
• Bill to be settled based on minimum guarantee or actual attendance, whichever is higher

PARTY BOOKING CANCELLATION

• 10% non-refundable cancellation fee applies to all
• Cancel before 72 hours: 50% of booking value
• Cancel after 72 hours: 100% of booking value
• No charges apply if cancelled due to natural phenomena

FOOD & BEVERAGE TERMS

• Max 15% additional guests allowed beyond guarantee
• Children charged full
• Plates counted by RGC rep and organizer’s signatory
• Beverages charged as per actual/package rate
• No outside food/beverages for in-house catering
• Rs. 50/head/item for member-brought extras
• Bar license required from Excise Dept. for setup

EXTRA SERVICES

• Gas heater: ₹1000 | Electric heater: ₹750 (subject to availability)
• Bartender service: ₹2500 (subject to availability)
• Driver/Servant meals: Chargeable, served separately
• 5KVA power included, ₹1500/KVA extra or hire generator

CLEARANCES & PERMISSIONS

• All local authority permissions must be submitted before the event
• Temporary hangar/structure needs prior approvals
• Use fire retardant materials, follow safety rules

MAINTENANCE & SAFETY

• Tentage and decorations only by empanelled RGC vendors
• Fireworks, firecrackers, gas blowers, sky lanterns, and fanush are strictly prohibited

MULTIPURPOSE HALL (MPH) & BANQUET RULES

• Marriage Day Rental: ₹1,75,000 + GST (with 2 rooms complimentary)
• Decoration charges: ₹5,000/day | Cleaning: ₹5,000 | Godown: ₹5,000
• Security deposit for fireworks compliance: ₹25,000
• Seminar/Conference Rental: ₹1,30,000 + GST
• Generator (AC): ₹20,000 (₹2500/hr), Lighting: ₹12,000 (₹1500/hr)

MPH CANCELLATION

• 10% minimum cancellation charge
• Cancel before 14 days: 20%
• Cancel before 7 days: 40%
• Cancel before 2 days: 60%

GENERAL RULES

• No fireworks, weapons, or high-decibel music beyond 10 PM (penalty: ₹1 Lakh)
• No pandals for Seminars/Conferences/Hi-Teas; allowed only for marriages
• Band/music/dancing allowed only on concrete road in front of hall
• Venue must be returned clean and signed off by RGC in-charge
• Guests must be accompanied by an RGC member
